Data Privacy and Protection Policy of DBP Holding Ltd. and DBP Pte. Ltd.

This policy effective May 25, 2018 applies to all businesses operated by a brand of DBP Holding Ltd. or DBP Pte. Ltd., i.e. Conzil, Digityzer, Creaverse, Prelogix, Kyberno, DBP Labs or any other business activity conducted by DBP Holding Ltd or DBP Pte. Ltd.

 

PERSONAL DATA HELD BY DBP HOLDING LTD. AND/OR DBP PTE. LTD.

 

DBP Holding Ltd. and/or DBP Pte. Ltd. hold contact or personal data as follows for its individual clients or prospects:

·       Name

·       Organization Name (where relevant)

·       Postal address

·       Email address

·       Telephone number(s)

·       On occasion website addresses as provided by individual clients or prospects

·       Financial transactions

·       Invoices from suppliers or service providers

·       Attendance lists if required protocols for meetings or other events

·       Project objectives agreement

·       On occasion project evaluation forms.

 

For the purposes of:

·       Maintaining at best business relationship with individual or corporate clients or prospects

·       Communications in the form of newsletters, email, phone contact when necessary

·       Organising events like conferences etc.

 

ROLES AND RESPONSIBILITIES

 

The role Data Protection Officer (DPO) will be carried out by the Executive Chairman of DBP Holding Ltd. and DBP Pte. Ltd. Should individual clients or prospects wish us to no longer hold any, or part of the data we hold, they will inform DBP Holding Ltd. or DBP Pte. Ltd. via privacy@dbp.group, and the data will be deleted in accordance with their wishes within one week at latest.

 

Individual clients or prospects personal data is maintained after the last client activity for a maximum of 10 years. 

 

CONSENT PROCEDURE

 

New individual clients or prospects will be sent the link to our data protection and privacy policy with the first contact e-mail.

 

TRANSFER OF DATA TO THIRD PARTIES

 

DBP Holding Ltd. and DBP Pte. Ltd. currently use Microsoft 365 to store personal data like names, email addresses, phone numbers and outlook calendar invitations, assignment development objectives as well as on occasion individual or group assessments and psychometric tools in order to maintain and conduct the business relationship at best with individual clients or prospects. We believe those tools to be secure in GDPR terms and will continue to monitor this.

 

INFORMATION SECURITY

 

All data of individual clients or prospects held in digital form on the PCs or any other electronic devices of DBP Holding Ltd. is held secure with password protection and security software which are maintained up to date. All data of individual clients or prospects held in paper form by DBP Holding Ltd. and/or DBP Pte. Ltd. are held in a locked cabinet or a locked office if the data is not anonymized.  When deletion is required or requested, we commit to do so securely by ensuring it is removed both electronically and via shredding if paper-based. 

 

RECORDS OF BREACHES AND NOTIFICATIONS

 

Where complaints are received from individual clients or prospects about breaches to the data protection and privacy policy, this will be done so to the Data Protection Officer (DPO) via privacy@dbp.group can pertain to breaches in confidentiality, hacking or someone other than DBP Holding Ltd. or DBP Pte. Ltd. taking control of the data. The DPO will maintain a record of breaches. In cases where the risk is considered low or very low (to the data subject), it will be resolved and logged in the record. Where the risk is considered medium to high, it will be logged and the DPO will notify the supervisory authority within 72 hours.
